    Weekly Newsletter -  Week of March 8, 2010

    1) New Date for First Home Meet:

    Sunday, March 28, 2010

    COC double booked the track for Saturday 3/27 and we have had to move to Sunday for our first meet of the season against the Chatsworth Chiefs.

    2) Mock Meet:

    March 20, 2010

    The mock meet is our time trials for 100m, 400m, and 1500m. Volunteers are needed for the timing tent and finish line.

    4) Photo Day:

    Wednesday, April 14, 2010

    Age group coaches will be handing out order forms for photo day around the beginning of April. Each athlete needs to fill out and return a photo form before April 14 whether purchasing extra photos or simply receiving the photo package (team photo, an individual photo, 4 wallets and a button) that comes as part of your registration fee. The photographer needs a name and age group for each athlete photographed.

    5) Practices at COC track this week

    M, W, Th – 6:00-7:45pm, Saturday 9-10:45

    Please read the important new parking, pickup and drop off instructions below. This is different this year!

    The team is currently full and there is a waiting list. Please do not come to practices if you are still on the wait list because of our insurance. We will have to ask you to leave. Thank you.

    Parents need to arrive by 7:30 to pick up their athlete. Gremlin parents stay for practice.

    Athletes attend a minimum of 2 practices this week – more is better.

    Rain cancellations will be made using the one-call system and updating the website.  If there is a good chance of rain or light rain is falling but a cancellation has not been made, please stay with your athlete at the track until it is determined whether practice will be held or not.

    Change to the Refund Schedule from the Parent Packet

    New Refund Schedule: 100% refund of registration fee if athlete drops before 3/8/10, 50% refund of registration fee if athlete drops before 3/15/10.

    New Parking, Pick Up, and Drop Off Information!

    COC IS REQUIRING PARKING PERMITS NOW!

    If you have not received a parking pass yet, get one at the beginning of practice from your athlete’s age group coach or Coach Greg. These passes are only good for Lots 7 & 8 (the lots next to the track).  They do not cover the other lots on campus.  If you forget your pass, you can buy a day pass from the machine.  They have told us that they might be ticketing cars that do not have either a parking permit or a day use pass.

    Pick Up and Drop Off of Athletes

    Please enter parking lot 8 at either Valencia Blvd. entrance ONLY at the beginning and end of practice.  Drop off the athlete at the visitors entrance and form a line by the visitor’s entrance and stay in your car and wait to pick up the athletes at the end of practice. At the end of practice the athletes will come out of the visitors side entrance and come out to the car at the sidewalk between lots 7 and 8 to be picked up.  Please leave through the Rockwell Canyon Road exit.  This should make conditions safer for our athletes.  They will be dropped off and picked up directly onto the sidewalk and cars will only be headed in one direction.

    This situation with the parking and drop off/pick up is new for our team this year so please be patient as we all work out how to implement these new procedures.  Suggestions and comments are welcomed but COC is being pretty strict in how they want us to use their parking facilities and come in and out of the college, so we have no idea how much input we will have to make changes.

    Volunteers

    Volunteers are needed for each practice and for the home meets.

    Volunteers at practice help out the age group coaches on the field (especially important with gremlins and bantams), hand out jelly beans at the end of practice, run with the distance runners (good way to get or stay in shape), and stuff the folders with any needed paperwork or ribbons.

    Volunteers at home meets pull tags, work in timing, help out the judges in each field event, get water to the athletes, set up, tear down, move hurdles, work in staging, walk athletes in relays to the correct position, photograph the athletes, enter data, etc.  Sign-up sheets with times and volunteer needs will be posted two weeks before each home meet.  We are especially looking for those comfortable with computers and data entry for help in the timing tent and for people who are good at putting things in order to help out in staging.  If everybody helps out our meets go very well – they are over earlier, all volunteers get time to be with their athletes and stress is kept to a minimum.  Our team as a reputation for well-run meets, thanks to the many volunteers who help out!

    Volunteers are also needed for our board of directors.  The board meets once a month and handles paperwork, finances and organizational needs for the team.  The meetings are friendly and short.  If you are interested in helping out by being on the board, please contact Greg Moser at practice or by e-mail.  We are looking for new board members since some of our current board members have athletes that are aging out of the program in the next year or two.

    Thank you to all of our volunteers!  Our fantastic parent volunteers are the vital force behind our athletes’ success!

    New Conference – SCYTFC

    We are in a new conference now  - the Southern California Youth Track and Field Conference.  Information about the conference can be found at the website: http://scytfc.org.  There are a few changes in our schedule, field events, and names of meets because of our membership in the new conference.  Qualifying Standards are changing slightly this year in many age groups and events.  They are being formulated now and will be up on the website as soon as we have them.

    Safety for Athletes, Volunteers and Spectators

    All pits, hurdles and other equipment are off limits at all times unless being used in a coach-supervised activity.

    Look both ways before crossing the track in practice or at a meet!  Give yourself plenty of time to get across.  Don’t try to run across quickly as the athletes are coming towards you.  Wait until they have passed and then cross.

    Watch where you are standing and walking during field event practice and at meets.  Be sure to stay out of the way of the long jump, high jump and shot put areas while they are practicing.

    Only coaches, athletes and volunteers are allowed on the track and field areas of COC during practices and meets.  Parents who are not volunteering on the field and spectators must remain in the stands.

    Communication

    We use 4 means of communication – the one-call, the website, the meeting at the start of practice for the athletes and file folders for each athlete in the stands.

    If you did not receive a call about the parent meeting or you wish to change the number given, e-mail Greg Moser. We used the number given on the registration form.

    The meeting at the start of practice is used to remind athletes of time-sensitive information.  Ask your athlete after each practice what was said during the meeting.

    The file folders are for ribbons, paperwork, photos- things that need to go to the athletes.

    Fundraising

    Please check about corporate donations where you work – many companies offer some sort of benefit to employees who volunteer or to non-profits their employees are a part of. Donations help keep registration fees reasonable and give our athletes the best equipment possible.

    Practices

    The first practice is March 1, 2010.

    Practices are held at College of the Canyons track.  Before the first meet practices are held 4 days a week – Mondays, Wednesdays and Thursdays from 6:00-7:45pm and on Saturday mornings from 9:00-10:45am.   After March 27, practices are still on the weeknights and Saturday mornings are the meets.  Gremlin parents stay for the entire practice.  All other parents are expected to be at the track no later than 7:30 to pick up their athlete(s). Athletes need to attend at least 2 practices per week – more if possible.

    May 1 – Home meet

    May 8 – at Santa Clarita East (Canyon High School)

    May 15 – Home Meet

    May 22 – Junior Varsity (Open) Finals at Canyon High School

    May 23 -  Varsity (League) Finals at Royal High School

    June 5 – I.E.C. – Carpenteria High School
